The Upcoming Component and Check Schedule identifies the individual properties and blocks where component replacements and compliance checks are forecast to become due during the next 40 years.
It complements the Upcoming Components and Checks report, which summarises the total quantity and forecast cost of each component and check. The Schedule provides the supporting asset-level detail behind those totals.
Note: This report is available only when the optional Asset Management module has been enabled for your Affinity account.
Generating the report
Open Management Reports, select Upcoming Component and Check Schedule, and choose either:
- a specific Housing Group; or
- All Housing Groups.
When All Housing Groups is selected, the report includes only the Housing Groups the current user is authorised to access.
Select Generate to display the schedule.
Report details
Each row represents one component replacement or compliance check forecast for a particular property or block in a particular year.
The report displays:
- Asset Type – identifies whether the scheduled item belongs to a Property or Block.
- Asset Reference – displays the Property Reference or an available Block Reference.
- Property Address or Block – identifies where the replacement or check is due.
- Item Category – identifies the item as a Property Component, Block Component, Property Compliance Check or Block Compliance Check.
- Component or Check – displays the component or compliance-check type.
- Due Year – the calendar year in which the item is forecast to become due.
- Forecast Year – the position of the Due Year within the rolling 40-year forecast, from Year 1 to Year 40.
- Forecast Cost – the forecast cost of that scheduled replacement or check.
If the same component or compliance check is due more than once during the 40-year period, each scheduled occurrence is displayed separately in its applicable Due Year.
The summary above the results shows:
- Scheduled Items – the number of scheduled occurrences matching the selected filters.
- Total Forecast Cost – the combined forecast cost of those scheduled occurrences.
Filtering the schedule
The report can be filtered by:
- Housing Group
- Item Category
- Component
- Check
- Asset Type
- From Year
- To Year
Use the From Year and To Year filters to examine a particular calendar year or range of years. To view a single year, select the same value for both.
For example, to identify the properties requiring kitchen replacements in 2027:
- Select the required Housing Group, or All Housing Groups.
- Select Property Component as the Item Category.
- Select the relevant Kitchen component.
- Set both From Year and To Year to 2027.
- Apply the filters.
The report will display each property with a Kitchen replacement forecast for that year.
Opening the schedule from Upcoming Components and Checks
Figures in the Upcoming Components and Checks report link directly to the detailed schedule.
Selecting a Quantity Due or Forecast Cost automatically applies the relevant:
- Housing Group;
- item category;
- component or compliance-check type;
- five-year forecast period.
For example, selecting the Kitchen quantity under Years 1–5 opens the schedule showing the individual properties and exact Due Years contributing to that quantity.
Selecting a 40-year total opens all scheduled occurrences of that item across the complete forecast period.
Property and block expenditure
Property Components and Property Compliance Checks are reported against their individual properties.
Block Components and Block Compliance Checks remain assigned to the relevant block. Block costs and scheduled items are not divided, allocated or duplicated across the properties or units within that block.
Exporting the schedule
Select Export CSV to download the detailed schedule.
The export contains one row for each scheduled occurrence and includes:
- Asset Type
- Asset Reference
- Property Address or Block
- Item Category
- Component or Check
- Due Year
- Forecast Year
- Forecast Cost
The export respects the filters currently applied to the on-screen report and contains the complete filtered result set.
The flat export format can be filtered, sorted or used to create working schedules and pivot tables in spreadsheet software.
Forecast information
The schedule uses a rolling 40-year period:
- Forecast Year 1 is the current calendar year.
- Forecast Year 40 is the current calendar year plus 39 years.
The forecast is based on the Asset Management information recorded for each property and block, including applicable lifecycle, adjusted lifecycle, first replacement year, last replaced year, service interval and previous inspection information.
Note: Properties and blocks without Year Built are excluded because their component replacement and compliance schedules cannot be forecast. Archived or inactive assets and inactive components or checks are also excluded.
The report is a forecast planning tool. An item appearing in the schedule does not indicate that work has been instructed, assigned or completed. Actual maintenance requirements and costs should be reviewed as part of the organisation’s normal inspection and programme-planning processes.
