Affinity’s improved payment import workflow makes it easier to see which receipts have been processed and which need attention. With optional fee-allocation review, your team can decide how to apply imported payments when a tenant has outstanding fees, without editing payment files or entering receipts again.
The improvements cover CSV imports and An Post Household Budget and Billpay files.
See what needs attention
The import results page now displays summary cards showing the number and total value of payments in each state. You can quickly distinguish completed payments from those needing tenant identification or an allocation decision.
Click a card to view the relevant records, or select Action required: Review payments to work through the file’s pending receipts.
Choose how to handle outstanding fees
When fee review is enabled, Affinity can hold receipts for tenants with unpaid fees while processing straightforward payments as normal.
You can review fee allocations or choose Use normal allocation for this file. That choice also applies to payments whose tenants are identified later, keeping the treatment of each import consistent.
Fees are paid only when you explicitly allocate an amount to them. Any remaining funds follow Affinity’s existing allocation rules.
Review payments in one place
The Payments Requiring Review list brings tenant identification and allocation decisions together. Filter by import file, tenant or payment state, with your selections retained for the session.
A payment may need a tenant match first, followed by a fee-allocation decision. Clear statuses show what remains to be done at each stage.
Make allocation decisions with the right information
The allocation screen presents current balances and recurring charges alongside each other, with outstanding fees immediately above the completion controls.
Recurring charges show the tenant’s actual current charge schedule, helping you assess the payment before deciding how much to allocate to fees. Affinity checks balances again when you complete the allocation, and the bank receipt is recorded only once.
Getting started
Fee review is off by default, so organisations that do not need it can continue importing payments using their existing allocation process.
To enable it, an authorised user can select Review imported tenant payments for outstanding fees under Settings → Finance.
