Asset Management Profiles provide a quick and efficient way to assign a standard set of Property Components and Compliance Checks to multiple properties.
Rather than configuring each property individually, you can create one or more reusable profiles representing the different property types within your housing stock. A profile can then be applied to any property, significantly reducing the time required to configure the Asset Management module.
To access Asset Management Profiles, select Admin → Settings from the main menu, then choose Add-ons and click Asset Management. From the Asset Management page, select Asset Management Profiles.
Note: The Asset Management module is an optional Affinity add-on. If it is not enabled for your organisation, please contact the Affinity support team to discuss activation.
Creating an Asset Management Profile
When creating a new profile, you must provide the following information:
| Field | Description |
|---|---|
| Name | A descriptive name for the profile, for example Standard 3 Bedroom House or 2 Bedroom Apartment (Gas Heating). |
| Description | Optional additional information describing the profile and the properties it is intended for. |
Once the profile has been created, it can be populated with Property Components and Compliance Checks.
Property Components
The Property Components tab is used to specify the building elements that are present within properties using the profile.
For each component you can:
- Specify whether the component is present.
- Override the standard life cycle where required.
- Specify a First Replacement Year if the component is due to be replaced at a known future date.
- Specify the Last Replaced Year where the component has already been renewed.
Any values entered here will be copied to properties when the profile is applied.
Compliance Checks
The Compliance Checks tab allows you to specify which compliance activities apply to properties using the profile.
Simply select the required Compliance Checks from the list. These will be copied to the property when the profile is applied.
Applying a Profile to a Property
Once a profile has been created, it can be applied from the Asset Management tab within an individual Property.
Select the required profile from the Apply Profile list and click Apply Profile.
Important: Applying a profile replaces the property's existing Property Components and Compliance Checks with those defined within the selected profile.
Good Practice
Most organisations only require a small number of Asset Management Profiles to cover the majority of their housing stock.
Typical examples include:
- Standard 2 Bedroom House
- Standard 3 Bedroom House
- 1 Bedroom Apartment
- 2 Bedroom Apartment
- Older Property (Oil Heating)
- Adapted Property
Creating a small library of well-defined profiles makes it possible to configure large numbers of properties quickly while maintaining consistency across your housing stock.
