Use Admin → Export to download Affinity data as a CSV file for analysis or use in another system. Each request exports one data type.
Before You Start
Your role must allow access to Admin Export and to the data you want to export. Options with a padlock cannot be selected with your current permissions. Ask your account administrator if an option you need is unavailable.
Creating an Export
- Open Admin → Export from the main menu. The page is headed CSV Export.
- Find the relevant group: Properties, Tenants, Suppliers, Work Orders, Bank, Housing Groups, Key Register or Other.
- Select the data type you need. Selecting another type replaces the previous selection.
- Choose All Data, or choose Specify Date Range and enter the Start Date and End Date. For SMS Messages, always set the dates to cover the period you need, as explained below.
- Select Export.
- Open the downloaded CSV in your spreadsheet application. To export another data type, return to the Export page and run a separate request.
Understanding the Date Options
All Data is selected initially. For most exports, it does not add a date filter. The export still follows its own scope and your access permissions.
SMS Messages is an exception: this export uses the Start Date and End Date even when All Data is selected. Choose Specify Date Range and enter the full period you want to include. SMS messages are filtered by their delivery date.
Specify Date Range affects data types shown in bold with an asterisk (*). It does not filter unmarked options, such as Properties, Tenants or All Keys. Check the dates before exporting; the prefilled range is only a starting point.
The date being filtered depends on the export. For example, a transaction export and an inspection export do not necessarily use the same kind of date. Choose the data type that matches the information you need.
Checking the Result
- Check the column headings and a sample of rows before using the file.
- If expected records are missing, check the selected data type, date range and your access permissions.
- If the export contains only headings, the selected export may have no matching records.
- If no file appears, check your browser’s downloads list and any download prompt.
A CSV is a snapshot of the exported data. Editing it does not update Affinity. Store and share files containing tenant or financial information according to your organisation’s data-handling procedures.
