Asset Management Profiles let you reuse a standard set of property components and compliance requirements across similar properties. The optional Asset Management add-on must be enabled.
Open Admin → Settings. Under General Settings, select Add-ons → Asset Management → Asset Management Profiles.
Creating a Profile
- Select Add.
- Enter a required Name of up to 128 characters and an optional Description. Use a name that helps staff choose the right property type.
- Select Add Profile.
- Complete the Components and Compliance Checks tabs as described below.
Choosing Components
The profile editor has three tabs: Profile Details, Components and Compliance Checks.
- Open Components.
- Tick Include beside each component the profile should contain.
- Review the standard life cycle and any optional overrides.
- Select Save and Continue to save the selections and continue to Compliance Checks.
| Column | Purpose |
|---|---|
| Standard Life Cycle | The reference life cycle defined for the component type. |
| Adjusted Life Cycle | An optional life cycle to use instead of the standard value. |
| Override First Replacement Year | An optional year to override the initial replacement schedule. |
| Last Replaced Year | An optional recorded replacement year to copy when applying the profile. |
Profile values are copied to a property when the profile is applied. Only put a replacement year in a reusable profile if it is appropriate for every property receiving it.
Choosing Compliance Checks
- Open Compliance Checks.
- Select the checks that apply to properties using this profile.
- Select Save Compliance Checks.
These selections define Asset Management requirements. They do not create completed inspection records or certificates.
Editing or Deleting a Profile
Open a profile by its name or its Edit Asset Management Profile icon. Change Name or Description under Profile Details and select Update Profile. Save component changes with Save and Continue and compliance selections with Save Compliance Checks.
To delete a profile, use its Delete Asset Management Profile icon in the list and confirm. The profile is removed from the active library along with its template selections. Settings previously copied to properties remain on those properties.
Applying a Profile to a Property
- Open the property’s Asset Management tab.
- Choose the profile from Apply Profile.
- Select Apply Profile and review the resulting component and compliance selections.
Applying a profile replaces the property’s existing Asset Management component and compliance selections with the profile’s selections. Review property-specific adjustments before applying it. Recorded compliance inspections and certificates are separate and are not deleted by applying a profile.
Editing a profile does not automatically update properties to which it was previously applied. Reapplying it replaces their selections again.
Choosing Useful Profiles
A small library is usually easier to maintain: for example, profiles for apartments, houses or properties with different heating systems. Keep component types and compliance check types up to date before building profiles.
