Use Tenants and returned details in a locked Differential Rent review to record which tenants have returned their household or income information.
Find a tenant
- Open Tenants > Rent Reviews and open the relevant Differential Rent review.
- Scroll to Tenants and returned details.
- Use Find tenant to search by name, account, tenancy or property.
- If the review includes more than one housing group, use Housing group to narrow the list.
- Use Income details to choose All entries, Awaiting details or Returned, then select Apply filters.
Record returned details
- Find the correct tenancy row.
- Enter the date the details were returned.
- Select Mark details returned.
The row shows the returned date and the review totals update. That tenancy will not receive later income request reminders from this review.
A returned date records receipt only. Staff must still check the information and complete the appropriate rent assessment. Marking details returned does not calculate rent, approve an assessment or create a charge schedule.
Correct an entry
If a return was recorded by mistake, select Clear returned date. To correct the date, clear it and record the correct date.
Clearing a date makes the tenancy outstanding again for later eligible letter stages. It does not change PDFs already generated or automatically issue another letter.
Monitor and export progress
The review shows total tenancies, returned details and outstanding details. The tenant list shows the recorded dates for letters 1, 2 and 3 alongside the return status.
Select Export all matching entries (CSV) to download the entries matching your current filters. The export includes all matching pages, not just the visible page.
Each review has its own record of letters and returned details. If a tenancy also appears in another annual review, recording a return here does not mark it returned in that other review.
View historical reviews
From Tenants > Rent Reviews, select Historical reviews to view reviews created in the previous process. These records are read-only: they are retained for reference rather than converted into new reviews.
You can search and filter historical tenant entries, export matching entries, and download original letter PDFs where they remain available. Historical lists may display current tenant or property details. Filtering the list does not alter the original group PDFs, and missing historical PDFs cannot be regenerated from this area.
