Charge Types define the categories of charges available for tenancies, such as rent, service charges and security deposits. Creating a charge type makes that category available; it does not itself apply a charge to a tenant.
Opening Charge Types
- Open Admin → Settings from the main menu.
- Under Tenant & Tenancy Settings, select Charge Types.
The list contains standard charge types supplied with Affinity and any custom types added by your organisation. Standard types do not display the edit and delete actions available for custom types.
Adding a Custom Charge Type
- On the Charge Types page, select Add.
- Enter a name in Charge Type. The name is required and must not duplicate an existing charge type.
- Select Add Charge Type.
The new type appears in the list and can be selected when configuring applicable tenancy charges.
Renaming a Custom Charge Type
- Open the Charge Types page.
- Select the Edit icon beside the custom type.
- Update the name.
- Select Update.
Choose names that remain clear when staff review existing records. A type identifies the category of a charge; changing its name does not change the amount charged.
Deleting a Custom Charge Type
- Open the Charge Types page.
- Select the Delete icon beside the custom type.
- Confirm the deletion if you are sure the type is no longer needed.
Affinity prevents deletion when charges or tenancy charge allocations of that type exist. If deletion is refused, retain the type and review where it is used. Do not remove financial records simply to make a charge type deletable.
Related Tasks
To change an amount or recurring charge, use the relevant tenancy’s charge settings. Charge Types controls the available categories, rather than the tenant’s charge schedule or balance.
