A tenancy is associated with a tenant. You must therefore identify and select the required tenant:
From the resulting view of tenant details select the "Tenancies" tab. This will result in a list of all tenancies associated with this tenant (if any) being displayed.
To add a new tenancy:
- Click on the "New Tenancy" button
- Populate the form with the tenancy details
- Click on the 'Add Tenancy' button.
Note that the following fields must be supplied:
Property Details
Select the property with which the tenancy is to be associated with, either by
- Selecting a property instance from the drop down list, or
- Entering text from the first line of the property address in the text field to the right of the drop down list until the correct address is displayed.
Note: it is important to select the relevant property at the start of this process as this action will result in the fields associated with the rental being populated. The values inserted into these fields will be based on the most recent rent assessment performed on the tenant instance and the housing scheme to which the property belongs.

Tenancy Start Date | The date on which the tenancy will start. |
Rental Period | This field by default will sit on Week but can be changed to Month. This is how often the rent due is to be applied. |
Bank Account | This field is optional, you can select the bank account that the rental payments should be received into, which will then show by default as the bank account when you record tenant payments. |
Rent Policy | This field is optional, you can select from pre-defined Rent Policies. If you wish to see additional Rent Policies added then contact us. |
Deposit | In this field enter the monetary value of security deposit that the tenant is required to lodge at the commencement of the tenancy period. |
Number of Occupants | Required by the Residential Tenancies Board. |
PRT Type | Required by the Residential Tenancies Board. |
PRT Reg No. | Required by the Residential Tenancies Board. |
Charge Details
In this area the recurring charges associated with the tenancy can be defined. Charge types for your Affinity account are defined with the Admin section (Control Panel, Charge Types tab). Each charge consists of two components:
- Tenant Component - the portion of the charge that will be received directly from the tenant.
- Benefit Component - the portion of the charge that will be paid by a benefit authority.
All charge types must have both a tenant and benefit component, though either or both of these may be zero.
Each charge will be applied to the tenancy once per rental period, i.e. either weekly or monthly.
