The Tenant Transactions area is used to manage the financial relationship between a housing association and its tenants.
From this screen, users can:
- record money received from tenants or Local Authorities / Councils;
- record refunds and other outgoing payments;
- adjust tenant balances where no funds are received or paid.
To access Tenant Transactions:
- From the main menu, select Bank.
- Select Tenant Transactions.
Selecting a Tenant Account
Before recording a transaction or adjustment, select the appropriate tenant account. This can be done in one of two ways:
- Select the account number from the drop-down list.
- Begin typing the account number into the search box. When the required account appears in the drop-down list, press Enter.
Once a tenant account has been selected, the Tenant Transactions screen is displayed.
Tenant Transaction Types
The screen is divided into three tabs, each designed for a different purpose.
Receipts (Incoming)
Used to record money received in relation to a tenant account, including:
- Tenant Payments
- Benefit Payments
- Security Deposit receipts
Receipts automatically update the tenant account and the selected bank account. Where applicable, Affinity also allocates the receipt across the tenant's recurring charge types using the active charge schedule.

Payments (Outgoing)
Used to record money paid from a tenant account, including:
- Tenant Refunds
- Benefit Refunds
- Return of Security Deposits
Payments automatically update both the tenant account and the selected bank account. Where applicable, Affinity allocates the payment across the tenant's recurring charge types using the active charge schedule.

Credits / Debits
Used to adjust recurring charge balances where no funds are received or paid.
Typical uses include goodwill adjustments, bad debt write-offs and other accounting adjustments that do not involve the movement of funds.
